Position Overview: Responsible for supervising and supporting the day-to-day activities of the Project Administration team. As a working Supervisor, you’ll process, research, and streamline billing, collections, closeout, and other policies and procedures. Provide ongoing support to leadership, project managers, and finance and accounting. Identifies and implements opportunities for process and team improvement. 

Responsibilities

Responsibilities: 

  • Leads the billing review process, including adherence to customer billing requirements, preparation of weekly billing information, invoice review with project managers/sales team, sales tax, and final submission to the customer for acceptance. Must understand billing methodology and follow applicable guidelines. Includes bonding and other insurance requirements. Supervises the production of daily and weekly invoices for customers. 
  • Manage cash projections and collections process. Coordinate with operations team members on monitoring customer billing and payments. Develop a schedule of payments that are recurring and based on production volume and sales. Weekly reporting and updates are to be provided to management. 
  • Participates in periodic production cost analysis and cost variance analysis. Identifies discrepancies and unusual postings for review with management. Develop standard metrics and efficiency measures. Reporting and analysis are required in support of the operations teams. 
  • Lead and support the project administrator team creating an environment of trust, reliability, and productivity. Hire and train project administratorsDevelop a culture of accountability by providing effective feedback, performance management, and career development.  
  • Works with the finance and accounting team to support month-end accounting deadlines and documentation. Collaborates with project and service managers to facilitate efficient billings, collections, closeout and monthly Cost to complete (CTC) process. 
  • Administer and continue to develop SOP’s and best practices. Identify issues and develop solutions in support of the operational accounting team of project administrators as well as IME finance and accounting team. Develop and maintain process documentation and training materials 

 

Knowledge, Skill and Abilities: 

 

  • Ability to establish priorities, work independently to proactively resolve problems and deliver results in a fast-paced environment 
  • The ability to adapt to change, have flexibility and a process improvement mindset with a focus on development and implementation 
  • Excellent computer skills including Microsoft Office Suite and the ability to learn new software quickly. 
  • Full working knowledge of GAAP  
  • Extensive knowledge of accounting and financial software 
  • Advanced analytical and investigation skills 
  • Advanced industry and accounting knowledge 
  • High attention to detail and strong organization skills 
  • Strong verbal and written communication skills 
  • Able to train team members on standard processes and practices as needed 

 

Qualifications

Salary:$70,000-95,000

 

Education and Experience: 

 

  • Two-year college degree or equivalent combination of education and experience. 
  • Previous experience leading a team   
  • Construction industry or construction project accounting experience 
  • JD Edwards experience helpful

Working Conditions: 

The majority of the time you will work in a typical office environment, the remainder of the time you will be on construction job sites. When on construction job sites you will encounter typical construction conditions including extreme temperatures, noise, dust, mud debris, welding, leading edge, trenching and shoring, sometimes in a confined space.  You may be required to visit multiple locations during any one day.
