  • Overview

    Office Administrator is responsible for managing multi-line phone system and screening incoming phone calls, screening, greeting and directing visitors. The position will oversee the organization, presentation, conference room scheduling, office supplies and important updates/communication for entire Denver, CO office. The position requires a proactive, self-sufficient and detail oriented individual that can successfully prioritize work with minimal guidance. The Office Administrator provides support directly to the IME President and will assist with projects, travel scheduling, and all other administrative support duties.

    Responsibilities

    • Process Expense Reports for executive team as needed
    • Maintains daily correspondence through e-mail and answers all incoming calls to the front desk, and forwards calls to the appropriate parties
    • Greets visitors at front desk and notifies employees when visitors have arrived
    • Coordinates and schedules company events
    • Receives packages and letters, and signs for packages as necessary
    • Orders supplies for break rooms, office supply room, kitchen area and events as needed
    • Responsible for processing new-hire onboard forms and distributing to appropriate department(s)
    • Responds to executive requests in a timely manner
    • Assists with executive expense reports

    Qualifications

    • Associates degree or equivalent related experience required; Bachelor’s degree preferred
    • 2 years’ experience in office administration
    • Professional level communication skills
    • Advanced knowledge of MS Office products (Outlook, Word, Excel, PowerPoint)
    • Ability to prioritize and organize tasks according to deadlines and urgency, and complete them in a timely and professional manner
    • Ability to create, edit and analyze Excel spreadsheets, Word documents, PDF files and PowerPoint presentations
    • Knowledge of basic accounting principles
    • Proficiency in MS Office Suite
    • Ability to multitask and work well in a fast-paced construction environment
