    The executive assistant provides high-level administrative support to company executives by conducting research, preparing statistical reports, handling information requests and performing clerical functions such as preparing and distributing correspondence, reports, forms, presentations; schedules and coordinates meetings and business travel. At times, will be responsible for receiving visitors, arranging conference calls and scheduling meetings for executives.


    1. Type reports, memos, letters and other documents using word relevant computer software.
    2. Filing and retrieving corporate records, documents, and reports.
    3. Answer phone calls and direct calls to appropriate parties or take messages as necessary.
    4. Record, type and distribute meeting minutes.
    5. Greet visitors and determine whether they should be given access to specific individuals, as necessary.
    6. Utilizes various software, including word processing, spreadsheets, databases, and presentation software.
    7. Read and analyze incoming memos, submissions and reports to determine their significance and plan their distribution.
    8. Perform general office duties such maintaining records management database systems.
    9. File and retrieve corporate documents, records and reports.
    10.  Make travel arrangements for executives.
    11.  Provide general administrative support.

    Work Environment



    This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines.


    Physical Demands

    • This is largely a sedentary role; however, some filing is required. This would require the ability to lift files, open filing cabinets and bend or stand as necessary. 


    Position Type and Expected Hours of Work

    This is a full-time position. Days and hours of work are Monday through Friday, 8:30 a.m. to 5 p.m.


    Required Education and Experience

    1. High school diploma.
    2. Five years of administrative experience.
    3. Demonstrated ability to organize a daily workload; a proactive approach to problem-solving with strong decision-making skills
    4. Strong verbal and written communication skills.

    Preferred Competencies

    1. Bachelor's Degree or Associates Degree
