Position Overview:  

The Administrative Assistant performs clerical, secretarial and administrative work in answering telephones, receiving the public, providing customer assistance, data processing, and record-keeping. Performs duties such as financial record keeping, processing of new hires and terminations, entering time in for field hires, making bank deposits, coordination of meetings and conferences, obtaining supplies, coordinating direct mailings, and working on special projects. Deals with a diverse group of important external callers and visitors as well as internal contacts at all levels of the organization. Independent judgment is required to plan, prioritize and organize diversified workload, recommends changes in office practices or procedures.

 

Responsibilities

  1. Organizes and prioritizes large volumes of information and calls.
  2. Answers phones and performs traditional receptionist duties.
  3. Develops and maintains office forms and procedures, and assists with administrative tasks.
  4. Sorts and distributes mail. Drafts written responses or replies by phone or e-mail when necessary. Responds to regularly occurring requests for information.
  5. Takes messages or fields/answers all routine and non-routine questions. Works in cooperation with other system development assistants to cover phones.
  6. Acts as a liaison with other departments and outside agencies, including high-level staff. Handles confidential and non-routine information and explains policies when necessary.
  7. Processes new hires, terminations, and field time entry.
  8. Responsible for certain financial actions, such make making bank deposits.
  9. In addition to the above, other tasks/duties may be assigned

Qualifications

  1. Experience with Microsoft Word, Outlook, and Excel. 
  2. At least one year of experience in an administrative support role
  3. Strong organizational ability and interpersonal skills
